PT Bookkeeper/Office Manager-DIRECT HIRE

Part-Time (20-hours per week) Monday to Friday
We are seeking a detail-oriented and reliable Office Manager / Bookkeeper to join our small business team, supporting 2 small companies in Chadds Ford, PA. The office manager will be responsible for maintaining accurate financial records, ensuring smooth day-to-day financial operations, assisting with financial reporting, and managing customer
service aspects for both companies.
Job Hours:
Flexible job hours, with a combination of in-office activities and work-from-home
opportunities. Allocation of at least 4 hours per day, 5 days per week (M-F).

Starting Pay: $35/hour as a permanent hire  
Employee Benefits:

Simplified Employee Pension (SEP) IRA. Employer funded. Eligible after 2 years of consecutive employment.
Vacation and Time Off:
Position will be allocated 10 days of paid time off per year.
Position will be expected to provide written or oral notification at least 48 hours prior to vacation period and/or scheduled day off. This practice does not apply to sick days or events of that nature.
Travel: Position is expected to have capacity to independently travel to the office location.
Key Responsibilities
- Maintain accurate financial records, including accounts payable, accounts receivable, and general ledger entries
- Process invoices, bills, and payments
- Reconcile bank statements and credit card transactions
- Monitor cash flow and assist in budgeting and forecasting
- Prepare and process payroll, including prevailing wages and certified payroll
- Assist in preparing financial reports
- Track expenses and profitability per project
- Assist with tax filings and liaise with accountants
- Provide support in financial analysis
- Maintain filing systems for financial documents
- Manage all aspects of customer orders for Viton FreeFlow distribution
- Arrange shipments and replenish inventory
- Bill customers and send order documents
- Track receivables.
Additional Duties:
- Sort mail and make bank deposits
- Maintain office supplies
- Perform minor bookkeeping for Fides Ventures and QuantaCool Corp
- Assist with annual state corporate filings for all entities
Qualifications:
- Working knowledge of QuickBooks Online
- Strong understanding of basic accounting principles and financial regulations
- Experience with payroll processing and tax filings
- Knowledge of financial forecasting and budgeting
- Excellent organizational and time-management skills
- Proficiency in Microsoft Office Suite
